Project Coordinator – Commercial Mechanical Construction
A well-established commercial mechanical construction company in the northwest Chicago suburbs is hiring a Project Coordinator to keep multiple projects organized from award through closeout.

A well-established commercial construction company in the northwest Chicago suburbs specializing in HVAC, plumbing, and mechanical work across commercial, healthcare, and tenant buildout projects. It is growing beyond the Chicago market and is employee-owned through an ESOP.
The opportunity
The company is looking for someone who can become a key partner to Project Managers and field leadership by keeping projects organized, documentation moving, and financial and administrative details on track.
It is a strong fit for someone who understands the construction project lifecycle and enjoys being the person who keeps multiple moving pieces organized, with meaningful ownership rather than a purely administrative role.
Key responsibilities
Coordinate multiple active construction projects from award through closeout
Prepare, issue, and track subcontracts, purchase orders, and change orders while maintaining accurate commitment logs
Manage the RFI and submittal process with architects, engineers, general contractors, and internal teams
Serve as a key point of contact for subcontractors, vendors, and general contractors on project administration
Partner with accounting and Project Managers on job-cost tracking, monthly billing, lien waivers, and budget reconciliation
Maintain accurate, audit-ready project records in construction management systems
Support procurement tracking, schedule updates, and long-lead material coordination
Own project closeout documentation, including as-builts, O&M manuals, warranties, and turnover packages
Ideal profile
Previous experience in project coordination, project administration, or construction operations
Commercial construction experience; mechanical, HVAC, plumbing, or MEP contracting experience is strongly preferred
Working knowledge of RFIs and submittals, change orders, purchase orders, subcontracts, lien waivers, and closeout documentation
Exposure to job costing, construction billing, budgets, or project financial tracking
Strong organization and the ability to juggle changing deadlines across multiple projects
Proficiency with Microsoft Excel and Word, and experience with Bluebeam and construction management software
Ability to read mechanical drawings and specifications is a plus
An associate’s or bachelor’s degree in Construction Management, Business, or a related field is preferred but not required
Compensation & benefits
The posted base salary range is $57,000 to $67,000, with an annual discretionary bonus, an Employee Stock Ownership Plan, medical, dental, and vision insurance, a 401(k), paid vacation and holidays, and life insurance.
